Position Overview

The Development Coordinator position will have primary responsibility for administrative and operational support to U.S.-Japan Council development activities. This position provides direct support to the Development Manager, the Senior Director of Donor & Member Relations, and Executive Vice President, Development. Administrative office support is also given as assigned. The Development Coordinator will interface with donors and related stakeholders. The position reports to the Executive Vice President, Development. This position is fully remote and allows for flexibility in work location, provided you have access to a reliable internet connection and can meet the requirements of the role. The duties include but are not limited to the following:

Responsibilities

Development and Donor Relations

  • Maintain donor database, record-keeping, and ensure timely acknowledgment of contributions, supporting both the Development Team for corporate sponsors and the Membership Team for individual donors.
  • Coordinate with the Finance Department to ensure monthly reconciliation of donor contributions.
  • Support the creation of ongoing fundraising reports.
  • Support the Development Manager for all phases related to grant submission and reporting deadlines. Track the fulfillment of grants with program staff and serve as an ongoing liaison to donors.
  • Coordinate the gathering of information (budgets, materials, evaluation reports, etc.) to support contribution requests and reporting.

Materials, Communications, and Events

  • Provide information for and create development-related materials, including website information, invitations, donor recognition, event announcements, donor thank you letters, and annual reports.
  • Manage vector files; put logos in PowerPoint presentations and other materials. Manage, organize, track, maintain files for sponsor logos, and submit them for uploading to the website.
  • Work in collaboration with staff in the USJC (Japan) office in Tokyo and with the membership and communications teams in the U.S.
  • Support the Board of Directors Development Committee.
  • Work with the staff team to implement events to support development (e.g., government briefings, donor receptions, and donor dinners).
  • Assist in organizing other events (public and by-invitation) to help promote USJC as appropriate.

Administrative and General Support

  • Prepare invoices and thank-you letters as instructed.
  • Compile background information and research on potential donors.
  • Provide general administrative and office support as assigned.
  • Other duties as may be assigned.

Qualifications

  • Bachelor’s Degree in a relevant field (Nonprofit Management, Communications, Marketing, English, or related discipline) is required.
  • 2–3 years of experience in nonprofit fundraising, development, or donor relations is common.
  • Experience supporting grant writing or grant reporting.
  • Event coordination experience, especially donor-related events, is preferred.
  • Experience in development-related support is preferable.
  • Experience working in multicultural or international environments.
  • Experience with the use of social media for marketing and development support is preferable.

Technical Skills

  • Experience with donor management software (e.g., Salesforce, WealthEngine).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with marketing/work management productivity tools like Mailchimp and Asana.
  • Familiarity with graphic design tools (e.g., Canva, Adobe Illustrator) for creating or managing marketing materials is a plus.

Language and Communication Skills

  • Excellent verbal and written communication skills and analytical skills are required.
  • Fluency in English is required.
  • Some ability in the Japanese language is strongly preferred.

Additional Information

  • Occasional evening or weekend work may be required for Board meetings, fundraising events, or special projects.
  • Occasional travel may be required.
